Our client, a global investment manager, is seeking a Temporary to Permanent Administrative Assistant to support a team of 1 MD, 3 VPs, 1 Associate, and 2 Analysts on the Intellectual Property team in their NYC office. The hours are 8:30am-4:30pm with OT as needed. The schedule is hybrid, 4 days in the office and 1 day remote on Fridays. This role is a great opportunity for someone who is looking to plant their feet in a tight knit and hard working team of people!
Responsibilities:
- Calendar management in Outlook; scheduling internal and external meetings
- Setting up Zoom meetings and conference calls
- Booking extensive travel, both domestic and international
- Managing expense reports via Concur
- Planning team events
- Maintaining all distribution lists and contact lists for all executives
- Answering incoming calls, often with extensive interaction and engagement to ensure executives are fully informed of matters being addressed before follow-up
- Coordinating and tracking both receipt and delivery of time sensitive and original documents; coordinating notarization as required
- Close coordination with other administrative assistants on all business activity, travel, guests to the NY Office, etc.
- Ad hoc projects as requested
Qualifications:
- Bachelor's degree preferred, or equivalent business experience
- 6+ years of experience supporting multiple executives, preferably in financial services or a similar corporate environment
- Strong communicator, both written and verbal
- Comfort using office technology - Microsoft Office (Word, Teams, outlooks), Zoom, and other applications.
- Maintains the upmost professionalism and has outstanding judgement
- Experience managing a hectic professional calendar
- Experience booking domestic and international travel
- Extremely proactive self-starter with a flexible and enthusiastic approach to work
- Exceptional organization skills with a very high level of attention to detail
- Unquestionable integrity and discretion
Compensation:- 100K, hourly in line + OT + Bonus
