Responsibilities:The Administrative Assistant I reports directly to the Director of Advising, Recruiting, and Testing and is responsible for coordinating the secretarial/clerical affairs of the Advising and Recruiting Office. This position is responsible for multiple tasks involving the functions of the Advising and Recruiting department. This position uses independent judgement within established guidelines and may supervise student assistant(s). Duties and responsibilities shall include, but not be limited to, the following:
1. Serve as first point of contact for all incoming guests to the Advising and Recruiting office, providing excellent customer service and directing them to appropriate personnel.2. Screen calls and take messages, communicate general information to students, and make referrals when appropriate.3. Support the department's mass communications to students, as needed. 4. Provide administrative support in maintaining departmental budgets, originating and processing Personnel Action Forms, handling purchase orders, requisitions, and reports, contacting vendors to obtain quotes/invoices, and processing travel requests.5. Assist the recruiters in organizing recruiting materials, planning and hosting campus events such as tours, orientation, college fairs, job fairs, transfer fairs, commencement, open house, etc.6. Supervise student assistant(s); including assigning tasks and work hours, overseeing daily work, and preparing student employee time sheet.7. Submit physical plant work orders and IT help desk tickets for the department(s), as needed.8. Maintain filing system and scan files for student advising records.9. Manage departmental calendars and student appointment scheduling.
10. Perform other related duties as required.11. Occasional off campus local errands such as picking up supplies for an event or dropping off materials to vendors.
High school or the equivalent is required. Associate degree preferred.
One year of experience working in customer service, secretarial, or clerical role required.
Basic spelling, punctuation, grammar, and basic arithmetic skills required. Requires good interpersonal and organizational skills, and the ability to work in occasional stressful situations. Requires the ability to work with students, faculty, and staff in a professional manner. Must be proficient with Microsoft Office, and standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines, and scanners. Must comply with established College standards and policies. Experience in inventory and office management preferred.
Requires constant sitting, walking, and seeing. Requires frequent standing, lifting, pushing, pulling, and carrying objects up to 25 pounds; operating calculator, personal computer, and various office equipment. Requires infrequent stooping, bending, sorting, and filing.
This position is security-sensitive and thereby subject to the provisions of the Texas Education Code §51.215.
Normal office environment; occasionally setting up for events on campus, and some local travel required.
