Stanford University School of Medicine is world renowned for leading edge education, research, patient care and medical advancements. The Department of Educational Programs and Services (EPS) is home to departments and programs that are central to the educational mission of the Stanford University School of Medicine. BioSci Careers creates a community of mentors to support the academic advancement, professional development, and career-of-choice decisions of our graduates, medical students and postdoctoral fellows. Through individualized, experiential learning, integrated education, and connection opportunities, our faculty, staff, alumni, and employers teach through their real-life stories and empower trainees to define and tell their own.

Job Purpose

The Associate Director of Connections will manage programs at BioSci Careers, analyze the effectiveness of programs, and create and determine program eligibility. The Associate Director will also develop and implement programming and curriculum related to employer relations and sector-specific career preparation, as well as evaluate and make recommendations on technology applications. Through career education curriculum, workshops, online materials, and outreach events, the Associate Director will provide advice to Trainees (PhD Students, MDs, and Postdocs) on personal branding, career opportunities, sector-specific success factors, and job search best practices. They will develop a communications strategy for the office to increase connections between BioSci Careers, employers, trainees, and School of Medicine alumni. Overall, they will identify, clarify, and resolve highly visible or complex issues with substantial significance and impact that may span multiple areas, using expert technical and professional knowledge requiring independent judgment.

This position will be based on the Stanford campus and will be considered for an option of telecommuting from the Bay Area (hybrid of working 2-3 days on-site), subject to operational need.

Core Duties

  • Manage Experiential Learning & Connections unit, analyze effectiveness, and make final decisions on program directions.

  • Develop and implement employer/alumni outreach opportunities, as well as departmental communications strategies; make recommendations for future programs.

  • Evaluate and determine recommendations on technology resources, negotiate with resources options and vendors.

  • Analyze and develop report requirements, portals, and student facing communications.

  • Manage outreach programs, relationships with external community and university liaisons.

  • Engage in critical analysis of student and program concerns to resolve substantial issues which may span multiple areas, using advanced technical and professional knowledge.

  • Provide advice and resources to trainees on a range of issues including, but not limited to, personal branding, employer/alumni engagement, sectorspecific success factors, and professional development skill sets.

  • Apprise trainees of jobs, research, fellowship/scholarship opportunities

  • Interpret and implement university policy related to internship and employer/alumni engagement; oversee the implementation of these policies and practices for the School of Medicine

  • Manage financial processes and development of budgets.

  • Oversee key processes, including contribution and direction on internship/employer outreach policy, employer/alumni outreach programming, departmental communications, and career preparation content.

  • Provide advice to internal and external organizations; act as subject matter expert Biosciences career preparation.

  • Lead university wide teams and projects.

  • Direct the work of full-time and student staff; contribute to development of staff training programs.

Education & Experience (Required):

  • Bachelor's degree and five years of relevant experience, or combination of education and relevant experience.

Knowledge, Skills and Abilities (Required):

  • Advanced communication skills to clearly and effectively communicate information to internal and external audiences, client groups, and all levels of management, especially giving workshops and/or teaching curriculum.

  • Deep understanding of communications strategy and connections via social media, newsletters, web content, and outreach, among other offerings

  • Commitment to decentering whiteness, heteronormativity, and privilege in Higher Education and society at-large

  • Significant event planning experience is required, from small (10-20 people) to larger (300+) events; adherence to finer details, while keeping broader goals in mind is imperative

  • The ideal candidate will have some awareness of, and experience with, the career interests, opportunities, and needs of BioSciences trainees

  • Strong analytical and problem-solving skills to review and analyze complex information.

  • Advanced computer skills, including experience with Microsoft Office Suite.

  • Advanced customer service skills, especially in supporting the personal, academic, and professional needs of trainees. Clifton Strengths awareness or certification is ideal.

  • Familiarity with career-related database, scheduling, mentoring, and document review systems.

  • Understanding of financial transactions.

  • Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.

  • Experience supervising professional and student staff; a commitment to the holistic development of staff members and the ability to empower direct reports to be their best selves

  • An appreciation for team collaboration and connections in an "all-hands in" environment

Desired Qualifications

  • The ideal candidate will have some awareness of, and experience with, the career interests, opportunities, and needs of BioSciences trainees

  • Significant event planning experience is required, from small (10-20 people) to larger (300+) events; adherence to finer details, while keeping broader goals in mind is imperative

  • Advanced degree (Masters +)

  • Advanced customer service skills, especially in supporting the personal, academic, and professional needs of trainees. Clifton Strengths awareness or certification is ideal.

  • Familiarity with career-related database, scheduling, mentoring, and document review systems.

  • Experience supervising professional and student staff; a commitment to the holistic development of staff members and the ability to empower direct reports to be their best selves

  • Deep understanding of communications strategy and connections via social media, newsletters, web content, and outreach, among other offerings

  • The fearless ability and willingness to talk to and connect with anyone

Physical Requirements:
  • Frequently sit, perform desk-based computer tasks.

  • Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.

Working Conditions:

  • May work extended hours, evenings or weekends.

  • May travel locally.

  • Occasional overnight travel.

The expected pay range for this position is $105,100 to $118,900 per annum
