This role is responsible for assisting within various functions of the flu and covid vaccine process as well as the overall vaccine program. Work and collaborate with internal and external customers, along with cross-functional departments. This position will be responsible for managing inbound vaccine inquiries through the group inbox. This position will be responsible for managing several small/medium sized customer groups flu business from the prebooking through returns season. This position will be required to generate ad-hoc and custom reporting as needed for the members of the vaccines team. This position will assist with building and maintaining the pipeline of potential/future customers and assist the Vaccine Business Managers in coordinating meetings with included customers. This position will report to the Sr. Manger, Vaccines.

Key Responsibilities

  • Flu and Covid pre-book management (form review, validate pricing, upload organize/ maintain files, reporting and communication). Communicate new season information to all segments. Develop and implement marketing materials through Workfront and IT teams to ensure online ads and notifications run on schedule.
  • Responsible for providing answers and assistance related to flu inquiries to our internal and external customers in a timely and professional manner. Educate customers on all aspects of the products and services available to them. Work with a sense of urgency and organization to ensure correct order is placed in accordance with distribution center deadlines.
  • Coordinate with customer service team in providing training and basic knowledge of current year flu products and services. Provide sales documents, update FAQ's, and provide updated item portfolio lists and train customer service team on appropriate responses.
  • Assist Vaccines Team with end of season returns process. Coordinate with reverse logistics and assist with inventory and data validation for accurate return percentages. Assist with item setup for new flu items.
  • Assist Vaccine Team during the off-Flu season with projects and team email inbox. Work in tandem with Vaccine Business Managers to create updated sales documents for upcoming flu seasons.
  • Assist in season prep with creating customer allocations, contracts, pricing and maintaining throughout the season. Responsible for weekly audits of allocation system to prevent lost virtual inventory. Manage several small/medium sized customers and/or buying groups flu business, contract pricing, flu vaccine supply and any end-of-season requirements.
  • Other duties as assigned.

Minimum Requirement

Degree or equivalent and typically requires 2+ years of relevant experience

Critical Skills
  • 2+ years of relevant customer service experience
  • Experience using Customer Service technologies (Salesforce, IBP, SAP, Office, etc.)
  • MS Office proficiency
  • Extensive knowledge of customer service processes and procedures required
  • Demonstrated business acumen and strong communication skills to effectively engage and collaborate with key internal and external stakeholders.

Additional Skills
  • Excellent customer service communication skills and track record of reliability.
  • Flu Product knowledge highly preferred
  • Able to work independently and drive results for customers and account managers.
  • Professional communication: strong written and verbal communication skills and ability to interact with internal/external customers including sales team, account managers and co-workers
  • Energetic self-starter with attention to detail who can be resourceful with issue resolution.
  • Able to effectively work in a local and remote environment collaborating and ensuring open communication to achieve timely completion of all assigned tasks.
  • Able to prioritize and multi-task to meet various deadlines and customer expectations.
  • Strong problem-solving skills: able to analyze information provided, identify the root issue, and use resources appropriately to solve complex/escalated customers' problems/questions in a timely manner.

Our Base Pay Range for this position

$73,300 - $122,100
