About the Department:

SMU Intersessions supports courses delivered in winter and summer breaks. The Intersessions office manages a Jan Term, May Term, and various summers sessions. These programs provide scheduling flexibility that helps students stay on track to graduate on time when they cannot fit all of their requirements in Fall and Spring semesters. Intersessions staff engage students and parents at marketing events, they assist with enrollment and advising related questions, and they provide support to students, faculty, and staff for their terms. The office maintains contact with academic departments across all undergraduate schools and works closely with other campus partners including Enrollment Services and Student Academic Engagement and Success.

About the Position:

This role is an on-campus, in-person position.

The Intersessions Coordinator works in support of intensive academic sessions scheduled outside of fall and spring, primarily those based on SMU's Dallas campus (Jan Term, May Term, and Summer Sessions). The role works with student recruiting, social media, website maintenance, event coordination, and other communication with students, faculty, and staff. The Coordinator also assists with course scheduling, advising and support for SMU students participating in intersessions courses, vendor management, and other general office work. This position is the first point of contact for individuals who visit, call, or email the office. This role reports to the Director of Intersessional Programming in the Provost's Office.

Essential Functions:

  • Serves as communications liaison for intersessions programming: answers phone inquiries, responds to program email, and maintains the office calendar. Fields routine questions. Develops and maintains effective relationships with students, faculty, and advisors, and other campus partners.
  • Supports marketing efforts of the department. Manages social media platforms, website, email lists, etc. Plans and executes student-facing events on campus. Supports creative print marketing, including acquisition and design of promotional items. Engages students to promote January, May, and Summer terms, and occasionally other special projects.
  • Supports enrollment management for intersessional programs. Prepares Intersessions course information for distribution on websites & other platforms. Maintains schedule of classes, setting up courses. Handles routine student issues with enrollment, including student petitions and cancellation forms, scheduling, or advising issues.
  • Collaborates on cross-over projects with Intersessions' sister program, SMU Taos. Liaises with vendors and manages accounts. Handles other departmental purchasing. Helps manage work study students and graduate assistants as required. Coordinates special projects and performs other duties as assigned.
  • Occasional evening/weekend hours may be required during busy periods.
  • Minimal travel may be required to attend conferences or for special projects.


Qualifications

Education and Experience:

A Bachelor's degree is required.

A minimum of two (2) years of experience is required. Experience working in higher education is preferred.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills and be able to engage students.

Candidate must demonstrate highly developed organizational skills; effective planning ability; strong attention to detail and accuracy; and the ability to oversee multiple tasks in a deadline-driven environment. A strong customer service orientation and professional demeanor are essential.

Candidate knowledge of and experience with web content maintenance, graphic design, social media, and/or video editing platforms is desirable.

Candidate must be able to demonstrate proficiency in MS Office (especially MS Excel, Outlook, and PowerPoint).

Candidate familiarity with PeopleSoft (my.SMU), Microsoft Teams, Docusign, and Qualtrics is highly preferred.

Candidate ability to learn new software is essential.
