Job Summary

The overall purpose of this position is to maintain eligibility for the college to disburse federal, state and private funds. This involves staying informed on new regulations and finding ways to implement procedures to meet the demands of new regulations required by the U.S. Department of Education and the state of Tennessee.

Job Duties

  • Duties of the Director of Financial Aid include but are not limited to:
  • Administration and delivery of federal, state and institutional aid. Supervision, managing and training Financial Aid staff (regular and temporary employees).
  • Overview of procedures for efficiency, accuracy and productivity.
  • Conduct performance reviews of Financial Aid team.
  • Oversight of Program of Study processing, resolving errors and performing overrides for pre-requisites.
  • Completion of the Fiscal Operations Report and Application to Participate (FISAP) annually.
  • Maintain accuracy of Program Participation Plan with the Dept. of Education (specifically as programs of study are created or deleted).
  • Complete recertification for participation in Title IV programs in a timely manner to ensure continuous eligibility for participation in Title IV programs.
  • Comply with all federal and state audit requests/reviews.
  • Oversight of awarding, disbursing, and reconciliation of financial aid, including federal, state and private sources of aid.
  • Maintain policy and procedure manual for Financial Aid.
  • Yearly set up of Student Information System (Banner).
  • Establish yearly Cost of Attendance utilizing various resources for each component.
  • Pell Disbursement process.
  • Census processes.
  • Monthly reconciliation of Pell and Direct Loan funds.
  • Weekly reporting of Pell awards and disbursements to COD.
  • Weekly monitoring and resolution of overawards.
  • Review and approve or void excess aid check sheets from Business Office.
  • Responsible for the security, confidentiality and safety of financial aid records.
  • Assist with institutional compliance for Consumer Information.
  • Assist with institutional compliance for Gainful Employment and Financial Transparency.
  • Resolve student issues and complaints.
  • Verification of employee, employee dependent or relative files and processing of aid.
  • Review notifications from Federal Student Aid, NASFAA, TSAC/THEC, etc. to ensure compliance.
  • Attend conferences, workshops and training events.
  • Conduct Financial Aid information sessions, filing sessions, training sessions, etc. as requested.
  • Present financial aid at area high schools, open house, FAFSA filing nights, etc.
  • Oversee, monitor office budget including requisition approvals, travel authorizations and claims.
  • Assist Success Coaches, One-Stop, Call Center and Off-campus staff with detailed financial aid questions, information and training.
  • Communications of changes as it relates to financial aid to others within the institution.
  • Back up Asst. Director when out of office.

Minimum Qualifications

Bachelor's degree required.
Minimum of 5-7 years of direct financial aid experience especially in the processing of aid.
Minimum of 2-3 years of direct supervisory experience.
Banner Financial Aid experience required, especially as it pertains to set-up and processing.
Experience in the use of COD, NSLDS, EdConnect, Argos, UC4 (Atomic), SAVE and FSA Partner Connect.

Preferred Qualifications

Master's degree preferred.

Knowledge, Skills, and Abilities

In-depth knowledge of federal and state financial aid rules, policies and procedures.
Ability to problem solve and analytical thinking required.
