SUMMARY:

The School of Humanities and Sciences (H&S) is the foundation of a liberal arts education at Stanford. The school encompasses 24 departments and 24 interdisciplinary programs. H&S is home to fundamental and applied research, where free, open, and critical inquiry is pursued across disciplines. The Center for Latin American Studies (CLAS) within Stanford Global Studies (SGS), a division of the School of Humanities & Sciences, is a U.S. Department of Education Title VI National Resource Center committed to outreach to the scholarly community in California and the U.S. CLAS serves as an international hub that fosters an academic community and supports research and teaching, in all fields of study, as they relate to Latin America and the Caribbean. The Center's academic programs encourage multidisciplinarity approaches, drawing on the expertise of over 90 affiliated faculty members representing Stanford's schools and departments.CLAS offers two degree programs: an Undergraduate Minor and a Master of Arts degree. Every year the center hosts a number of Tinker Visiting Professors, as well as other highly distinguished Latin American and Iberian scholars. CLAS organizes approximately 90 public outreach events per year, and administers graduate student grants and fellowships, undergraduate students' internship grants, as well as grants to support Stanford faculty research and academic events.

JOB PURPOSE:

CLAS' Events and Communications Officer reports to the Center's Associate Director, and is the primary point of contact for staff, faculty, and students participating in events sponsored or cosponsored by the Center.This position is responsible for managing CLAS' complex and diverse events programming and written public communications. Works with a variety of constituents, including faculty, students, visiting professors, and other communications events planning personnel within H&S and other schools, as well as with academic institutions in the U.S. and abroad.

The position plans and executes center events, including seminars, conferences, alumni engagement, commencement ceremony, and other related activities. Manages center events from inception to execution, including budget preparation and tracking, vendor negotiation, advertising-including social media, event setup, presentation and materials support, and registration and attendee tracking. Under minimal supervision, will provide support in planning, coordinating, and implementing communication programs. Develop external written communications and design and coordinate media relations programs and efforts.

The position requires someone who can work independently in several projects simultaneously, take ownership of projects from start to finish, produce and edit content, and fulfill other duties that are in line with the position. The position emphasizes events and communications yet might be asked to assist with other administrative tasks as needed. Candidates should be self-starters, comfortable with autonomy, and embrace opportunities to shape programmatic initiatives and to drive these initiatives to completion. Experience in event planning and written public communications is highly preferred. Familiarity with Latin American Studies programs preferred. Proficiency in Spanish or Portuguese is desirable.

This is a 100% FTE continuing and exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid of working on-site and off-site), subject to operational need.

CORE DUTIES*:

Initiate and lead meetings with stakeholders to plan scope and format of events, establish and monitor budgets, and/or review administrative procedures and event progress.

Identify individuals/groups to attend and/or speak at public meetings or other events.

Serve as project leader on specific events, coordinating teams that plan, implement, and manage all aspects of events such as: marketing, vendors, fan experience, ticket office, concessions, press and/or media.

Responsible for budget planning and management, venue management and equipment and facilities management for specific events.

Develop, execute and oversee written communications of moderate complexity, including presentations, speeches, news stories, web content, talking points, and correspondence and social media posts.

Participate in regular meetings of key researchers with media relations needs to develop strategies and tactics for facilitating effective communications.

Assist in preparing content for internal or external newsletters. Understand email and digital content distribution.

Research and provide recommendations for potential event locations and evaluate alternatives.

Procure and coordinate vendor services. Negotiate vendor contracts to minimize liability and risks.

Coordinate media, community or government relations, and ensure logistics and preparations are handled.

MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor's degree and three years of relevant experience or combination of education and relevant experience.

Knowledge, Skills and Abilities:

Demonstrated success managing event teams and planning, developing budgets, and meeting budget goals.

Excellent project management skills, and the ability to manage complex timelines and multiple projects.

Ability to work both independently and as part of a team.

Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detail oriented.

Demonstrated high level of confidence in making strategic decisions, good judgment, and innovative and creative problem-solving skills.

Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.

Certifications and Licenses:

Valid Non-Commercial Class California Driver's License.

In addition, preferred requirements include:

Experience with Adobe InDesign.

Excellent written communication skills, reporting skills, and skills in conceptual editing, copy editing, and proofreading.

Capacity to write and synthesize materials and communicate information in a manner easily understood.

PHYSICAL REQUIREMENTS*:

Constantly perform desk-based computer tasks.

Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.

Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.

Ability to obtain and maintain a California Non-commercial Class license and drive day or night.

WORKING CONDITIONS:

May require some travel and working evenings and weekends.

On call and ability to respond 24/7.

PAY TRANSPARENCY LANGUAGE:

Hybrid or on-site: The expected pay range for this position is $78,408.00 to $98,614.00 per annum.
