Position Overview:
We are seeking a highly organized and proactive Executive Assistant to support our senior executive team. The ideal candidate will be a strategic partner, adept at managing a wide range of administrative and executive support tasks, while maintaining confidentiality and professionalism. This role requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
Administrative Support:
- Manage and maintain executives' schedules, including coordinating meetings, appointments, and travel arrangements.
- Screen and prioritize emails, calls, and other communications, ensuring timely responses and follow-ups.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
Meeting Coordination:
- Schedule, plan, and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Serve as a liaison between the executive team and internal/external stakeholders.
Project Management:
- Assist with planning, coordinating, and executing special projects and initiatives.
- Conduct research and compile data for decision-making and presentations.
Travel and Expense Management:
- Arrange complex domestic and international travel itineraries, including accommodations and logistics.
- Process and reconcile expense reports in compliance with company policies.
Office Operations:
- Manage office supplies and ensure the executive's workspace operates efficiently.
- Handle sensitive information with discretion and professionalism.
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Ability to work independently and make informed decisions.
- High level of professionalism and discretion in handling confidential information.
- Bachelor's degree or equivalent experience preferred.
