Position Summary:

The HR Coordinator is a role requiring professionalism, discretion, and collaboration. It involves managing the CHRO's schedule, prioritizing activities, coordinating meetings, crafting correspondence, and providing excellent customer service to all PSC employees and outside vendors, while also supporting the entire HR team.

Reporting and Supervisory Relationships:

Reports directly to the Benefits Manager.

Essential Responsibilities:

1. Serves as the assistant to the Chief Human Resources Officer.2. Ensures that all employee files are current, complete, accurate, and includes official transcripts. Maintains appropriate filing of all employment, benefits paperwork and I-9 forms.3. Screen, greet, and direct visitors, faculty, and staff; screen telephone calls; provide information and/or refer to appropriate staff members; refer to the CHRO as necessary.4. Arrange and schedule meetings, answer phones, and draft correspondence for CHRO.5. Enters and terminates all hourly and adjunct employees into Colleague database ( i.e. Opportunity Works, student workers, work study, etc.)6. Assigns and updates PTO leave plans to hourly employees in compliance with the Paid Leave for All Workers Act.7. Process monthly accruals for applicable employees. (i.e Support Staff, Grant Funded, Police, etc)8. Maintains confidential files and reports, and provides general administrative support to the HR department.9. Assists all Human Resources staff with Ad hoc reporting.10. Coordinates, plans, and assists in the execution of Human Resources sponsored special events (i.e. Annual Benefits Fair & Open Enrollment).11. Create and maintain electronic filing systems. Transfer physical files to an electronic filing database.12. Maintains HR third party contracts and processes departmental invoices and bills (e.g. People Admin, Academic Impressions, etc).13. Distributes and tracks employee and administrative annual performance evaluations.14. Manage confidential material for all staff, including sorting, filing, retrieval, and maintenance of files, as well as assisting in file purging.15. Processes, name badge requests, and employment verifications, and other employee inquiries.16. Enters all new adjunct professor information into the Ellucian/Colleague database and terminates departing employees. Coordinates these changes with the Payroll Manager and Benefits Manager.17. Serve as administrative backup regarding first tier responsibilities for Recruiting & Training Specialist, Benefits, and other appropriate administrative duties.18. Track and follow up on all background checks for potential employees19. Maintains office inventory and orders office supplies.20. Serves as liaison with the Duplication Center for timely reproduction of printed materials; personally handles small reproduction tasks and immediate material needs.21. Performs other duties as assigned to support the Human Resources Department as a whole and management of office.

Minimum Qualifications:

1. Associate's Degree and/or two years of college level study or high school diploma with at least two years of administrative experience.2. Proven experience as an Office Manager, Administrative Assistant, or similar role.3. Proficiency with Microsoft Office Suite.4. Familiarity with office equipment (e.g., printers, fax machines, and copiers)5. Demonstrates basic Human Resources knowledge.6. Ability to prioritize tasks and manage time effectively to meet deadlines.7. Demonstrated ability to maintain confidentiality when dealing with sensitive information.8. Excellent verbal and written communication skills.9. Excellent organizational and multitasking skills.10. Exceptional customer service skills.

Preferred Qualifications:

1. Experience in Human Resources.2. Experience working in a community college.3. At least two years of experience working with State University Retirement System ( SURS)

Anticipated Work Hours and Days:

Monday - Friday 8:00am - 4:30pm

Salary:

MIN: $40,952 MID: $51,190 MAX: $61,427
