Develops objectives, policies, and procedures for department cost centers to formalize and implement the mission, vision, and values of Billings Clinic. Maintains the standards, customer relations, and practice in a designated service line. Accountabilities include: quality of services; short and long range planning to achieve goals and objectives; fiscal control; physician and interdepartmental/intradepartmental relations; personnel management.
Essential Job Functions
• In collaboration with physician leadership and other medical staff, administration, and other health care providers, develops and implements short and long range plans, and leads, develops and revises programs which enhance department services.
• Leads department in the overall marketing, program development, and service priorities. Coordinates with physicians and other Billings Clinic leadership to assure continuity in pursing service line/organizational goals and synergy in implementing plans and problem resolution.
• Develops, implements, and maintains a realistic, cost-effective annual budget.
• Practices process improvement principles to assess and improve the quality of the service/care provided within the department. Maintains competency in all organizational, departmental, and outside agency safety standards relevant to job performance for department and ensures compliance of department and staff.
• Develops, retains, recruits, and leads a talented team committed to accomplishing the goals and objectives of Billings Clinic. Recommends, implements, and evaluates plans and systems that assure sufficient number of qualified and competent staff to provide care/services. Adheres to administrative policies and procedures relating to human resource management.
• Demonstrates and encourages an ethic of open communication and teamwork throughout the organization. Builds an environment of shared commitment to Billings Clinic's goals and responsibility to achieve quality outcomes. Provides consultation for related concerns and acts as a customer advocate by demonstrating sensitivity to ethical and legal ramifications of practice.
• Participates in evaluation, selection and integration of health care technology and information management systems that support quality of care/financial needs and the efficient use of resources.
Supports and models behaviors consistent with Billings Clinic's mission, vision, values, code of business conduct and service expectations. Meets all mandatory organizational and departmental requirements. Maintains competency in all organizational, departmental and outside agency standards as it relates to the environment, employee, patient safety or job performance.
Performs all other duties as assigned or as needed to meet the needs of the department/organization.
• The Orthopedic & Podiatry Practice Manager is responsible for overseeing the daily operations of the orthopedic and podiatry medical practice. This role involves managing administrative staff, optimizing clinical workflows, and ensuring compliance with healthcare regulations to provide the highest quality care to patients. The ideal candidate will have experience in medical office management, a strong understanding of orthopedic and podiatry services, and excellent leadership skills.
Operational Management
Oversee the daily operations of the orthopedic and podiatry practices, including scheduling, billing, patient flow, and facility management.
Ensure smooth coordination between administrative and clinical teams to provide efficient patient care.
Monitor and improve operational processes for quality improvement, reducing wait times, and enhancing patient satisfaction.
Staff Supervision and Development:
Lead, mentor, and manage a team of administrative and clinical support staff.
Conduct regular performance evaluations, training sessions, and team meetings.
Collaborate with HR for hiring, onboarding, and managing personnel issues.
Financial Management:
Prepare and monitor the practice's budgets, ensuring financial performance and cost-effectiveness.
Analyze financial reports and implement strategies to optimize revenue generation and reduce costs.
Compliance and Risk Management:
Ensure the practice complies with federal, state, and local healthcare regulations and other legal requirements.
Implement and oversee quality control programs to ensure patient safety and care standards are met.
Manage risk by regularly reviewing policies and procedures and addressing areas of concern.
Patient Relations:
Enhance patient satisfaction by implementing systems to address patient concerns, improve communication, and streamline care delivery.
Oversee patient scheduling and ensure an optimal balance between patient appointments and physician availability.
Manage patient complaints and provide solutions to ensure positive patient experiences.
Strategic Planning and Growth:
Work closely with physicians and leadership to develop and implement strategies for practice growth, including expanding services or adding new providers.
Identify opportunities for expanding market share or enhancing practice offerings through partnerships or new technologies.
Ensure the practice stays competitive by staying up to date with industry trends, emerging technologies, and best practices.
Minimum Qualifications
Education
• 4 year Bachelor's Degree in Healthcare Administration, Business, or health care field
Experience
• Experience in clinic management, orthopedics and podiatry preferred
Certifications and Licenses
• Current licensure/certification in the State of Montana and/or Wyoming as appropriate or required for service line
Or an equivalent combination of education and experience relating to the above tasks, knowledge, skills and abilities will be considered. Employees that require a licensed or certification must be properly licensed/certified and the licensure/certification must be in good standing.
