ISTC is seeking to hire an Office Support Specialist to provide office and operational support to Survey staff. Position is based in Champaign, Illinois.
Job Summary
Provide office and operational support to Survey staff.
Duties & Responsibilities
- • Assist staff with travel arrangements: reserve lodging and transportation; conference registration arrangements; prepare and process all travel (T-Card and non-T-Card) expense reports in the travel reimbursement system; serve as ISTC-wide delegate.
• Assist with administrative systems needs such completing PRIDE transactions when requested.
• Serve as a resource person and liaison for staff between PRI administrative teams including fiscal services and purchasing. - • Order and maintain general office supplies lab supplies, and commodities; comply with all purchasing and reporting regulations; submit purchase requests; process P-card expense reports in ChromeRiver; serve as ISTC-wide delegate. • Organize and submit monthly modem and cell purchase requests for multiple PI approvals. • Assist with procurement, inventory, and transfer of scientific assets and equipment. • Maintain order log and reconcile p-card transactions.
- Assistance with ISTC facility management through work order submission, providing assistance to UIUC Facility and Services in work order implementation, ISTC staff space assignments, assistance with safety, and provide assistance with new staff onboarding.
- • Assist survey leaders by scheduling survey-wide meetings, organize and post research seminars or webinars; organize, reserve venues, and facility scheduling of workshops, retreats, or other research advancement events.
• Serve as back-up for other survey administrative support. - • Perform other duties as needed in order to further the mission and goals of the Survey.
Additional Physical DemandsThe work of this position takes place in an office setting. The work is sedentary and involves sitting for extended periods of time working at a computer, using a keyboard and mouse, and using repetitive hand motions for data entry.
Minimum Qualifications1. High school diploma or equivalent.
2. Any one or combination totaling two (2) years (24 months) from the categories below:
A. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate's Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
B. Work experience performing office/clerical activities, including the use of computer systems.
3. One (1) year (12 months) of work experience comparable to the second level of this series.
Preferred QualificationsValid driver's license. Associate's or Bachelor's degree
Knowledge, Skills and Abilities- Effective verbal and written communication skills, personal relations, collaboration, organizational, teamwork, and leadership skills. Demonstrated ability to perform effectively in a diverse and fast-paced work environment consisting of multiple and changing priorities with stringent deadlines, under minimal supervision. Attention to detail, sound judgment, and strong conflict resolution skills. Proficiency in commonly-employed software and databases.
Appointment InformationThis is a 100% full-time Civil Service 3243 - Office Support Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after 2/17/2025. The entry-level salary for the Office Support Specialist classification is $40,400.10 ($20.72/hour).
