We are seeking an Office Specialist to join the Tri-State Operations Team! This is an in-person role based in New Brunswick, NJ. This is an entry level, contracted operations role for someone who is highly motivated, loves all the details, looking to add value, and is always asking where they can lend a hand. The ideal candidate displays adaptability, foresight, creativity, and a passion for delivering exceptional customer service in a fast-paced environment. This individual will have a demonstrated commitment to excellence, collaboration, attention-to-detail, creative problem solving, and big picture thinking. We are also looking for someone who is proactive, resourceful, tech savvy, and has outstanding relationship building and interpersonal communication skills. Interest/experience in event support and career in team operations preferable.

What you'll Do

Front Desk:

• Greet candidates, guests, clients, and employees in a welcoming, upbeat manner

• Being onsite to accept all mail, packages, guests, caterers, answer questions

• Keeping a tidy, well stocked front desk

• Assist working through conference room scheduling issues when needed

• Understand all building-wide policies and procedures and working with Property Management when needed

Office Management:

• Maintain stock of kitchen and office supplies while adhering to a clear and reasonable office budget - resulting in a well-stocked office

• Walking the space to ensure office is clean and neat - putting back items to their rightful place, removing old/expired items, tidying wires

• Receive deliveries and unboxing/organizing supplies into proper closets and cabinets

• Making sure our partner teams have all the items they require

• Facilities support & maintenance

• Office prep for client visits, events, meetings (stocking kitchen, ordering specialty items, etc.)

• Keep the office organized and clean

• Collaborate with operations team members to implement policies and procedures

• Provide executive and administrative support and coordination as needed

• Reorganizing, cleaning out all closets

Event Support

• Provide support for Slalom Tri-State events

• Setting up and breaking down AV equipment and catering for meetings and events taking place during normal business hours

• Occasional after-hours work needed

What you'll bring:

• Bachelor's degree or 1-2 years of administrative/office management experience

• Strong problem-solving skills and attention to detail

• Professional communicator with strong oral and written communication skills

• Excellent organizational/time management skillset

• Strong passion for above and beyond customer service

• Experience working with a top security building (preferred not required)

• A positive attitude and sees no task as "too small" or "beneath them"

• Enjoys interacting with people

• Works with a sense of urgency without sacrificing quality or accuracy
