Department Information

The Indiana University School of Medicine is the largest medical school in the US and is annually ranked among the top medical schools in the US by US News & World Report. Researchers in the Division of Pulmonary Medicine at the IU School of Medicine pursue a variety of basic, translational and clinical research projects in the fields of pulmonary and critical care medicine. Studies are conducted in facilities located on the school's Indianapolis campus, its affiliated hospitals and in collaboration with investigators in other IU School of Medicine divisions and centers and at other academic institutions. Division research is funded by the National Institutes of Health, the Department of Veterans Affairs, non-profit organizations, foundations and industry.

Job Summary

The Division of Pulmonary, Critical Care, Sleep and Occupational Medicine is seeking a Program Management Assistant to join our administrative team. This position will coordinate division wide events and conferences as well as provide grant support for faculty. The Program Management Assistant is a role ideal for a detail oriented, organized person who enjoys variety in their work.

Department-Specific Responsibilities

  • Provides day-to-day support related to the administration of contracts and grants.
  • Follows established processes and protocols to ensure contracts and grants are compliant with all university, sponsor, and federal policies.
  • Provides forecasting, compiles budget information, coordinates required approvals and ensures timely submission of proposals to funding agencies.
  • Provides other various administrative support for contracts and grants operations.
General Responsibilities
  • Conducts research and compiles materials and information for departmental programs.
  • Prepares records of program activities; oversees and ensures the timely processing and delivery of required materials.
  • Reviews the policies and procedures involved in departmental programs; suggests improvements; and ensures that rules comply with university standards.
  • Analyzes data and information generated or produced by program; writes reports and other written materials based on this data.
  • Verifies the accuracy of all data and information used or generated by program; resolves any discrepancies or problems.
  • Responds to requests for program information by staff, students, and faculty; handles any necessary correspondence.
  • Serves as liaison for department; coordinates activities and exchanges information.

Qualifications

EDUCATION

Required
  • High school diploma or equivalent (such as HSED or GED)
WORK EXPERIENCE

Required
  • 4 years of related work experience

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Additional Information

This position is not eligible for visa sponsorship or visa extension.

Work Location

IU Indianapolis

This position is eligible to work a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.

Advertised Salary

$48,000 - $53,000 annually, based on experience and internal equity.
