Job Description:

Amherst College invites applications for the Purchasing and Receiving Manager position. The Purchasing and Receiving Manager is a full-time, year-round position, starting at $67,000 per year - commensurate with experience. Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate will demonstrate the ways in which they bring value to and will work towards supporting a broadly diverse community.

Amherst College is seeking a highly skilled and motivated Purchasing and Receiving Manager for Dining Services. The position will be responsible for overseeing all aspects of the procurement process for the Dining Services department, ensuring that high-quality products are sourced in a safe, cost-effective, and timely manner. This role requires strategic planning, strong vendor relationships, and a commitment to College sustainability initiatives, local sourcing, and vendor diversity. The position is responsible for the safe receipt, storage, and movement of goods across campus to various cafes and buildings. This position is critical to the overall delivery of the dining program through the management of food purchasing and a high level of fiscal responsibility.

Additionally, this position will support large-scale events across campus as needed through procuring, moving, storage, delegation, distribution, and safe storage of food and related goods.

This position manages up to five other individuals, including full-time and casual.

Summary of Responsibilities:

Strategic Procurement of Food and Food-Related Goods

  • Ensure department purchasing aligns with the College's goal and objectives, evaluate the market for savings and quality improvement opportunities, create and maintain procurement and purchasing policies and procedures, and collaborate departmentally to source ingredients to deliver high-quality menus
  • Manage interruptions to the supply chain by housing adequate stock levels, finding alternative goods and sources, and communicating interruptions and solutions to the team


Manage the College's food and related goods purchasing and storage
  • Order all foods and foods related goods for campus venues; receive goods, store goods in appropriate environments, coordinate usage and stock levels to minimize waste, coordinate efforts with chefs to utilize product and minimize waste, manage the use of software and platforms (include but not limited to purchasing, nutrition, receiving, accounting, and food safety)
  • Utilize technology to include web (cloud applications) and application based software on a PC, tablet, and cellphone


Vendor Management
  • Build and maintain strong relationships with suppliers and vendors, purchase within contract agreements and assist in creation of contracts to secure favorable terms and conditions, Evaluate vendor performance and ensure compliance with contractual obligations


Quality Control and Safety
  • Maintain safe dock operations and movement of goods to include training of team on safety and equipment usage, manage documentation and ensure compliance with applicable law and practices for receiving and storage of goods, safe storage and use of compressed gases and chemicals, track and resolve quality issues for refunds, manage food recalls, and inspect all goods to adhere to food safety standards for temperature and adulteration


Sustainability and Local Sourcing
  • Promote practices and purchase goods that align with the College's sustainability goals, develop and maintain local farmer relationships, collaborate with on campus farm (Book & Plow) to maximize use of goods first before other purchasing


Fleet Management
  • Oversee the cart and vehicle program for the department, coordinate service, and coordinate appointments for maintenance. Communicate vehicle service to the team


Qualifications:

Required
  • Bachelor's Degree in Restaurant, Hospitality, Business, Supply Chain, or related
  • 5 to 7 years of related experience
  • Three years of related experience in lieu of BS/BA
  • Process and maintain a valid license to operate a motor vehicle. Operate motor vehicles and carts on and off campus. Maintain 5 College vehicle credentialing program
  • Ability to process, manage, and move goods and services with assistance or alone (frequent and ongoing) of up to 50 pounds and over 50 pounds with assistance and support equipment
  • Ability to work in variable environments; indoor, outdoor, occasional expose to precipitation, cooler and freezer environments (up to -20 degrees F), humid, hot, cold, and around the cooking and production of foods
  • Ability to taste, feel, see, and smell foods to ensure safety
  • Ensure compliance with all relevant laws, regulations, and college policies
  • Ability to safely maneuver on ladders, stairs, and in and out of vehicles to load and unload products
  • Ability to observe and manage the storage facilities for needed cleaning and maintenance
  • Position is essential and will require working at times when the college is closed due to weather, holidays, and occasional nights and weekends to complete job duties
  • Serv Safe (or Equivalent) Manager, Allertrain Food Allergen (or Equivalent), and Choke Saver Certifications or ability to certify within three months of employment
  • Collaborate and build positive relationships with others in the department, College, and in the community
  • Commitment to effectively working with a diverse community
  • Successful completion of pre-employment physical and lift test

Preferred
  • Experience in a higher education food service environment
  • Proven track record of developing and implementing successful food purchasing strategies
  • Strong negotiation, contract management, and vendor relationship skills
  • Excellent analytical, organizational, and problem-solving abilities with a keen attention to detail
  • Knowledge of sustainable procurement practices and local sourcing
  • Proficiency in procurement softwares, Google Suite, CBORD, Net Menu, Nutrislice, and Agilysys
  • Strong leadership, team management, and development skills
  • Excellent communication and interpersonal skills
  • Ability to solve problems and make decisions independently
