Principle Duties and Responsibilities:
• Reports directly to the McLean Program Director and has a dotted line reporting relationship with the Executive Director of Operations at McLean Hospital (Belmont, MA) regarding business management, operations, policy implementation, and vendor contract relationships.
• Accountable for operational efficiency and effectiveness, fiscal performance, business implementation, and vendor service management for McLean.
• Assist with candidate review, interview scheduling, and hiring process for open positions with the McLean program.
• Manages new staff hiring process in conjunction and partnership with McLean Hospital Human Resources as it relates to background checks, 1-9 forms, Occupational Health. Ensures that orientation and training are scheduled and completed.
• Maintain professional, courteous, and effective relationships with the Property Owner and designated personnel.
• Manage ongoing business operations to drive the program's expansion forward, making the program successful and competitive within the local and regional marketplaces.
• Develops, organizes, and maintains appropriate databases for business tracking and analysis functions.
• Handles general office procedures and functions (i.e., accounts receivable, accounts payable, equipment maintenance issues).
• Manages PeopleSoft/Workday and UKG electronic systems and serves as the liaison to McLean Human Resources and other relevant administrative departments.
• Oversees contracted services (i.e., food services, dietary consulting, housekeeping, maintenance, linen service, lab services, hazardous waste contract, etc.).
• Assures that operational-based Quality Assurance protocols and checklists are followed and reviewed promptly.
• Develops and monitors the program operation budget and applications, contracts, and budgets as required by local, state, and federal agencies.
• Develop appropriate policies and procedures for the McLean program in compliance with local, state, and federal agency regulations. Prepare necessary licensure and accreditation materials, as directed by the Program Director.
• Update, revise, and create new program materials and policies as the program expands to meet the needs of specific and targeted patient populations.
• Represent the program, as directed by the Program Director, at appropriate meetings (virtual and in-person) throughout the McLean Hospital system.
• Prepares and distributes monthly utilization data, budget summaries, and other operational reports, as directed.
• Conducts ongoing daily inspections of the facility for the purposes of ensuring optimal safety and appearance of the residential facility.
