Beacon Hill Legal is seeking a Sr. Legal Assistant/Legal Operations Manager for our client a global corporation. This role is perfect for a hard-charging, organized, responsive, self-motivated individual that enjoys being the point person for a fast-paced legal team. To be successful in this role, one must be a perfectionist who is detail-oriented, adaptable, able to work with changing priorities and deadlines, and energized by tackling problems and devising solutions. Supporting the entire legal team and ensuring a smoothly functioning department is the backbone of this role, which is the glue that keeps this group running smoothly. This position operates with a high degree of autonomy reporting directly to the Chief Legal Officer. This is a results-oriented team with a positive culture in a collaborative environment. The ideal candidate is someone who wants to be a subject matter expert (Coupa, Legal Tracker, Net Documents, Office 365 Suite), thrives on constant learning and growth, is energized by new challenges and opportunities, and thinks like an owner.

ESSENTIAL DUTIES (What do you have to be able to do to achieve the desired results of your job? Include management

and leadership responsibilities for work team leaders.)

Provide administrative support to CLO and attorneys:

  • Assertively manage department budget, billing, accruals, and expense management processes
  • Monitor and timely direct all communications sent to DL-Legal Correspondence folder
  • Document and file preparation and management
  • Calendaring and travel
Provide operational support to Legal Team:
  • Administer department matter management systems (Legal Tracker, NetDocuments)
  • Develop and maintain department processes, including those related to recruiting, onboarding, offboarding, and training of team members
  • Prepare department metrics, reporting, and dashboards
  • Administer timecards, time off requests, and vacation schedule
  • Partner with IT to manage department hardware and software
  • Manage subscriptions, software licenses, and memberships
  • Onboard and offboard vendors, consultants, and outside counsel, manage vendor and firm A/P and accruals
  • Administer department contacts and calendars
  • Plan meetings and events
MINIMUM REQUIREMENTS (What is required to perform the Essential Duties?)
  • Bachelor's Degree or equivalent professional related experience of 3-5 years preferred
  • Adept in MS Office 365 (Excel, Word, Teams, and PowerPoint) and Acrobat
  • Exceptional written, verbal, and interpersonal skills
  • Strong Office Technology
  • Expertise with document management systems and matter management systems a plus
  • Expertise with Coupa, NetDocuments and/or Legal Tracker a plus
