How you can make a bigger difference:

The 29i Team Director plays a vital role in the overseeing the administrative functioning and continuous improvement of the 29i clinics in the Jewish Board's OCSF programs including Cedar Knolls House, Kaplan House and the Supervised Independent Living Programs (SILPs). The staff member filling this position will need to monitor all issues related to medical and psychiatric provider productivity by strengthening infrastructure related to this goal. To this end, the 29i Team Director will need to track scheduling to ensure that each provider's calendar is optimally utilized; gather data around kept, cancelled and unattended appointments; develop scorecards that reflect the most important markers of the clinic's status and work in a interdisciplinary fashion to improve the efficiency and quality of care delivered. Position will be a hybrid one balanced between onsite and remote locations. The Team Director will report to the Senior Director while receiving input and guidance from Deputy Executive Director of Clinic Business Operations. Oversee and facilitate the weekly team meetings and ensure the supervision is provided to the Team Leaders.

KEY ESSENTIAL FUNCTIONS:

Scheduling
  • Oversee scheduling workflow, foresee gaps where providers might have idle time, and liaise with program and nursing staff to fill available time slots on providers' calendars.
  • Work with Information Systems to fully integrate scheduling capacity in MyAvatar.
  • Ensure that each youth is scheduled for assessments such that care meets criteria for best practices (with input from clinical staff) and regulatory requirements.
  • Work in an inter-disciplinary manner with program, nursing and medical staff to strengthen workflows for a variety of types of encounters: in-person, telehealth, AWOC, annual assessments, follow-ups, return from a hospital or emergency room.
  • Develop and refine operations for all aspects of care within 29i.

Tracking/Monitoring
  • Track metrics that impact 29i clinics' financial and clinical status, including manual data entry when required.
  • Work with Data Analytics and Information Systems teams to develop capacity to more easily gather data pertaining to 29i.
  • Identify trends in data and potential root causes of deficiencies, then proactively work to rectify problematic areas.
  • Monitor billing claims submitted by all providers, identify visits for which bills are absent, and work to enhance finances of the 29i clinic (maximizing add-ons, submitting claims for all billable visits, helping to develop workflows that expand visit capacity).
  • Assisting with audit preparation of the 29i clinic.
  • Learn 29i regulations and partner with teams to ensure that such requirements are met.
  • Ongoing communication and problem-solving with diverse set of disciplines (program, nursing, fiscal, medical, compliance).
  • Initiate and drive meetings with support departments to ensure that all systemic factors impacting 29i are thoroughly addressed.

EDUCATIONAL/TRAINING REQUIRED:

  • Associates degree preferred.

EXPERIENCE REQUIRED/LANGUAGE PREFERENCE:

  • Three years of work-related experience required.
  • Spanish or French speaking preferred but not required.

COMPUTER SKILLS REQUIRED:

  • Working knowledge of Microsoft Office, Outlook and Word.
  • Strong facility with Excel.
  • Aptitude for learning new systems and application software, especially MyAvatar and Tableau.

VISUAL AND MANUAL DEXIERITY:

  • Ability to read paper and electronic documents and perform significant data entry into various computer programs.
  • Manual dexterity and hand-eye coordination to operate office equipment.

WORK ENVIRONMENT/PHYSICAL EFFORT

  • Ability to lift 25lbs for the purpose of working with inventory and other household items.
