Duties: The Watershed Initiative Coordinator will act as an overall administrator for shelter medicine programming. The individual will handle budgeting, reporting, ordering, email correspondence, event planning and execution, and interfacing with multiple institutions inside and outside of the university. This coordinator should be a leader for the program facilitating and organizing events such as conferences and continuing education programs, as well as maintaining and directing budgets for grant funding and drafting grant reports for the program. They will also screen public email inquiries to the program and schedule meetings for the shelter medicine service. They will also help facilitate training for volunteers including development of a training manual and managing the on-site training program. The coordinator will be a key communicator across the university and to external programs. They will retain databases of volunteers and partners. They will coordinate all aspects of the Watershed Initiative including local conferences, symposium retreats, journal club meetings, support group meetings, and CE. They may also need to produce media and promotional materials, complete payment processing, order supplies, etc. Heavy emphasis on event planning and execution. They will also manage an online store for the program fundraising, newsletter, bulletin board, and website updates. Additional duties can be assigned as needed by the program. Work schedule will consist of varied 8-10 hour shifts with events on weekends and weekdays.
Qualifications: Bachelor's Degree and 2-3 years of experience or equivalent combination of education and experience is required. Exceptional independent organizational and communication skills are required. High proficiency in computer work necessary and skilled in Microsoft Office Suite, Google Drive, Docs, Sheets, Calendar, and Forms, etc. The candidate will also be producing publicly facing materials including programs, brochures, orientation packets, etc. Event organization experience is required. Conference and CE planning experience is highly preferred. Ability to multitask and prioritize is important. Candidates should have a passion for animals and be committed to the mission of the Penn Vet Shelter Medicine Program. Experience with animal organizations is desirable.
